Polite ways to say no, by situation

Every script below follows three rules. The no comes in the first or second sentence, so it can't be missed. Nothing here is an invented excuse, because a made-up reason is one more thing to keep straight later. And an offer only shows up as an optional line, marked "Add only if it's true".

How to say no to your boss about extra work

With a manager, a clear no often works as a trade. Say you're not taking it on, then ask what should move if it has to be you.

How to say no to lending money

Money asks often arrive with urgency, and urgency makes it easy to agree before you've thought it through. You can care about the person and still say no to the loan.

How to say no to a date

Being clear is the kind option here. A soft maybe keeps someone waiting, and a direct no is easier to hear once than a slow fade.

If saying no to someone doesn't feel safe, that's bigger than wording. If you're in danger in the US, call 911.

How to say no to volunteering or joining a committee

Groups tend to ask the people who said yes last time. Turning down a role isn't turning down the cause, and you don't need to defend your calendar.

A last-minute invitation doesn't need a last-minute excuse. "Not tonight" is a complete answer, and you can still wish them a good time.

When talking it through helps

A script gets you the first line. It can't tell you what they'll say back, or what you say after that. And reading a line isn't the same as saying it out loud, which is often where a no starts to wobble.

Questions

Do I have to give a reason when I say no?

No. A reason is optional, and a short no is still polite. If you give one, keep it to a single true sentence, because a long explanation invites negotiation. Every script on this page works without a reason, and none of them asks you to make up an excuse.

What's the difference between warm, plain and firm?

Warm adds a thank-you or a kind wish and suits people you're close to. Plain is the neutral version: a clear no in one or two sentences. Firm closes the topic. It suits a repeated ask or pressure, and it works the first time too. All three say no clearly.

What do I say if they keep asking after I've said no?

Repeat your answer in fewer words. You don't owe a new reason each time, and the firm scripts are written for this moment. For example: "I've already said no, and my answer is the same." If the pressure starts to feel threatening, that's a safety matter, not a wording problem.

How do I politely decline by text or email?

Put the no in the first two sentences, then stop. These scripts are short enough to send as a text, and they work as the opening lines of an email. Leave out softeners such as "maybe" or "I'll try" unless you mean them, and change anything that doesn't sound like you.
